CMMS software for healthcare and regulated facilities: what survey-ready records need

What CMS and Joint Commission documentation asks of your maintenance records, and how Limble, FreeMaint, ChecklistGuro and GoFormz line up for clinics, ASCs and senior living.

By Chris Gaitanis, hospital facilities and life safety manager · Last verified

Who this is for: facility and maintenance leads at clinics, ambulatory surgery centers, senior living and long-term care, and smaller hospitals who are choosing between a full CMMS, an inspection-form app, or keeping paper. It is not a ranking. I haven’t run these products through a hands-on trial yet, so there are no scores here. What I can do is define what a survey-ready maintenance record has to contain and check, against each vendor’s own published pages, which tools can produce it.

Affiliate note: none of the links on this page are affiliate links as of October 22, 2026. Limble, FreeMaint and ChecklistGuro run partner or affiliate programs that this site may join later. If that happens, those links will be labeled, and it won’t change what’s included, the order, or any verdict.

What the job requires

Start with the paperwork, not the software. In a survey, nobody looks at your CMMS dashboard. They look at the records it produces.

What CMS regulations say

The federal rules are short. What makes them heavy is the codes they pull in:

None of these rules mention software. All of them assume you can prove, on demand, that the inspections, testing and maintenance (ITM) the referenced codes call for actually happened.

What The Joint Commission asks for (hospital program, 2026)

Two things changed this year, and some vendor pages still use the old vocabulary:

  1. The chapters were renumbered. Since January 2026, under Accreditation 360, the hospital Environment of Care (EC) and Life Safety (LS) chapters have been replaced by a Physical Environment (PE) chapter, with a few topics moved to the new National Performance Goals chapter. TJC’s own webinar says the key concepts didn’t change. Interim Life Safety Measures (ILSM) now sit under PE.03.02.01. TJC’s slides also say the detailed EC equipment ITM standards were deleted, which means the codes themselves carry that detail.
  2. The documentation elements are spelled out in the Survey Process Guide. The September 2026 hospital SPG adds a note to PE.03.01.01 EP 3 (Life Safety Code) and to PE.04.01.01 EP 1 (Health Care Facilities Code) listing what every inspecting activity’s documentation must include:
    • the name of the activity
    • the date of the activity
    • the inventory of devices, equipment or other items
    • the required frequency
    • the name and contact information of the person who performed it
    • the NFPA standard(s) referenced
    • the results

That seven-item list is your software requirements document. The SPG also says the life safety surveyor reviews the items on the PE Document List and Review Tool during document review. That includes fire drills, the environmental risk assessment, and ITM activities.

For a feel of the recurring work those records cover, look at TJC’s pre-2026 Document List and Review Tool (effective March 1, 2024, old numbering):

Check the current Document List in the SPG before you build schedules from this list. The frequencies come from the referenced NFPA standards, and the tool cites edition and section for each one.

ILSM is a documentation workflow too. Under the pre-2026 numbering (LS.01.02.01), TJC described a required ILSM policy with an assessment tool to decide which measures apply, and an implementation tool that documents each measure for as long as it’s in place. That’s a recurring, time-boxed task with an end date. Some CMMS setups handle it well, and others push it back onto paper.

Not covered here (yet): TJC’s ambulatory and nursing care center manuals, and other accreditors (AAAHC, DNV, ACHC). I haven’t verified their current wording, so this page makes no claims about them.

What that means for CMMS features

Here’s how each documentation element maps to a capability, and what to probe in a demo. The “watch for” column is practical advice from life safety work, not vendor claims.

Documentation element What the software has to do Watch for
Name of the activity PM / procedure templates named for the actual ITM activity Generic “Monthly PM” names that don’t tell a surveyor what was done
Date Completion timestamp captured at close-out Records that can be back-dated or edited without a trace
Inventory of devices One asset per door, damper, extinguisher, exit sign, with a location ID that matches your life safety drawings Assets lumped as “Fire doors – 2nd floor”
Required frequency Recurring schedules from monthly to multi-year Systems that can’t schedule a 6-year interval cleanly
Who did it, with contact info User accounts for in-house staff; vendor records and attached reports for contractors Contractor PDFs living in someone’s email
NFPA standard referenced A field on the template (standard + edition) Templates that leave it to free text
Results Pass/fail per item, with a failed item opening a corrective work order Deficiencies noted in comments that never become work orders

Beyond the seven elements, these features matter in practice:

The contenders

Every product fact below comes from the vendor’s own pages, read October 22, 2026. Feature tiers change often, so confirm them on the vendor’s pricing page before you buy.

Limble CMMS is a full CMMS: work orders, PMs, assets, parts, requests. It has a healthcare industry page and an Audits & Compliance page. Pricing is quote-only. The pricing page names three plans (Standard, Premium+, Enterprise) and offers a calculator, with no dollar figures.

The tier details are what matter for life safety records:

On HIPAA, Limble says it’s “built with HIPAA compliance” and tells you to contact them to confirm a BAA. Its compliance FAQ is unusually candid: a CMMS “doesn’t make you compliant on its own.”

FreeMaint is a CMMS with a free Core tier and flat per-company pricing: Starter $29/mo, Business $99/mo, Enterprise $299/mo, with unlimited users on every tier. Core includes:

Inspection checklists and PDF/Excel export start at Starter. E-signature and full audit logs start at Business ($99/mo). For survey records, that’s the tier to price.

ChecklistGuro is a checklist and workflow platform rather than a classic CMMS. It has audit/inspection and maintenance modules. Its audit page lists:

Pricing: a Free plan (up to 20 users, 100 checklists/tasks per month), Pro at $23/user/month billed annually or $29 billed monthly, and Enterprise by quote. The feature pages don’t say which plan includes which feature, so ask.

GoFormz is a mobile forms platform. Its pitch is that digital forms can look like your existing paper forms. It also offers offline completion, signatures, photos and GPS, and timestamped records with an audit trail. Starter is $499/month (or $4,999/year) for up to 10 users and 30 templates. Enterprise is quoted. GoFormz says it’s SOC 2 Type II certified and offers HIPAA-ready workflows on both plans on request. It isn’t a CMMS, so there are no asset histories or PM scheduling in the CMMS sense.

Not in this table: the enterprise systems many large hospitals run. They don’t publish pricing, and I haven’t verified their documentation features. They’re a different purchase from the one most clinics, ASCs and senior living operators are making.

Comparison table

This table is built from each product’s listing. A “—” means I couldn’t verify that item on the vendor’s site, not that the feature is missing. On a narrow screen, scroll the table sideways to see all four products.

Paper and spreadsheets: when they’re still enough

The seven SPG elements apply to paper too. A well-designed paper log that captures activity, date, device, frequency, inspector name and contact, NFPA reference and result meets the same documentation test as software. Paper can be the right call for a single-building clinic with a few dozen doors, extinguishers and exit lights, and one person doing the rounds.

Paper breaks down when:

Disclosure: I sell printable life safety inspection log templates through my own Etsy shop, LifeSafetyDocs. That’s my product, so weigh my view of paper accordingly.

How to choose

Take this checklist into each demo, and get the answers in writing or see them on screen:

  1. Inventory: Can I load every rated door, damper, extinguisher and exit sign as its own asset, with a location ID that matches my life safety drawings?
  2. Frequency: Can a PM repeat monthly, annually, and every 6 years, without workarounds?
  3. The seven elements: Show me one completed inspection record with all seven SPG items on it, including the NFPA standard and edition.
  4. Contractors: How do I record a vendor’s inspection, attach their report, and capture the inspector’s name and contact information?
  5. Deficiencies: Does a failed checklist item automatically open a corrective work order linked to the same asset?
  6. Integrity: Can a completed record be edited? If it can, is the change logged, and on which plan?
  7. Export: How many clicks does it take to produce 12 months of history for one asset class as a PDF?
  8. Tiering: Which plan includes signatures, offline mode and audit logs? (For Limble and FreeMaint, these sit above the entry tier, per their pricing pages.)
  9. PHI: If work requests could ever mention a patient, will you sign a BAA, and on which plan?
  10. ILSM: Can I track a time-limited measure, such as a fire watch or daily exit inspections, from start to end date?

If a vendor can’t show you items 3, 6 and 7 live, the reporting probably won’t hold up when you need it.

Frequently asked questions

Does a CMMS make my facility compliant?

No. Even a CMMS vendor says so: Limble's own compliance FAQ states a CMMS doesn't make you compliant on its own; the inspections and repairs still have to happen. The software makes the schedule harder to miss and the record easier to produce.

What does The Joint Commission want on an inspection record?

For hospitals, the September 2026 Survey Process Guide says inspecting activities are documented with the activity name, date, inventory of devices or items, required frequency, the name and contact information of the person who did it, the NFPA standard referenced, and the results. Check the manual for your own accreditation program.

Which edition of the Life Safety Code does CMS enforce?

The CMS regulations for hospitals (42 CFR 482.41), ambulatory surgical centers (416.44) and long-term care facilities (483.90) incorporate the 2012 editions of NFPA 101 and NFPA 99, with listed Tentative Interim Amendments.

Do I need a HIPAA business associate agreement with my CMMS vendor?

Only if protected health information ends up in the system, for example a work request that names a patient. Ask your privacy officer. Vendor HIPAA statements vary: Limble says to contact them about a BAA, FreeMaint lists HIPAA compliance on its Enterprise tier, and GoFormz enables HIPAA configuration on request.
